Overall Purpose:    

To provide general administrative duties for the Office and assist with HR and Marketing related administration.

Responsible to:  The Managers & Directors of Blueclaw

Principle duties and responsibilities


  1. Answering the phone on behalf of the Company and dealing with messages;
  2. Keep the office phone/contact list up-to-date;
  3. Managing the signing in/out book;
  4. Dealing with the post;
  5. Overseeing stationary supplies;
  6. Overseeing some H&S aspects, e.g. the Company Accident Book;
  7. Ad hoc administrative tasks;
  8. Filing.


  1. Providing administrative support with recruitment, e.g. collating advertising response, booking interviews and reference checking;
  2. Providing administrative support in respect of starters, e.g. arranging induction training and photocopying passports;
  3. Providing assistance in keeping employee records up–to-date, e.g. contact and emergency contact details;
  4. Holding training and performance records for employees;
  5. Providing assistance in relation to annual leave requests;
  6. Maintaining accurate records/dates of sickness absence;
  7. Providing reports for Managers, e.g. employee attendance;
  8. Providing administrative support with leavers, e.g. generating Employee references using the standard response pro forma.


  1. Updating the Company Intranet as required;
  2. Assisting the Managers with the administration on projects as required;
  3. Inputting client data onto the Client Relationship Database;
  4. Assisting with the production of marketing materials.


  • Good communication skills, both verbal and written;
  • Excellent telephone manner;
  • Strong organisational skills;
  • Ability to prioritise and support several Managers;
  • Good attention to detail;
  • Excellent IT skills, including word-processing, PowerPoint, and spreadsheets.
  • Good English & Maths at GCSE;
  • An excellent working knowledge of Microsoft Office products, e.g. Word, Excel and PowerPoint;
  • Previous experience in providing general administrative support for a busy office/department.
  • A hands-on team player;
  • Willingness and ability to be flexible;
  • Enthusiasm and positive attitude;
  • Self-motivated in the absence of immediate supervision;
  • Conscientious / takes pride in their work;
  • Discretion and integrity.


  • Knowledge of databases and/or intranet sites’
  • Knowledge of HR policies and processes.
  • Good numeracy skills
  • Experience of HR administration;
